DMC markup vs margin: how to price a quote
“Add 25%” and “keep 25%” produce different selling prices. Record which rule the partner means before calculating.

Markup measures profit against cost. Gross margin measures profit against sales. Confusing the two can leave a correctly summed cost sheet below the DMC’s intended gross margin. This guide isolates that decision; the worked group cost sheet explains the underlying service costs and FOC.
The same cost, two different prices
Assume 20 paying adults and USD 12,000.00 of direct group delivery costs, including all non-paying leader costs. Every included cost and selling amount is in USD, on the same basis, excluding sales taxes collected for authorities. There is no commission, discount or currency conversion in this exercise.
On a small screen, scroll sideways to compare both pricing rules. Money columns are in USD.
| Measure | 25% markup | 25% gross margin |
|---|---|---|
| Group net cost | 12,000.00 | 12,000.00 |
| Pricing calculation | 12,000 × 1.25 | 12,000 ÷ 0.75 |
| Group selling price | 15,000.00 | 16,000.00 |
| Price per paying guest | 750.00 | 800.00 |
| Gross profit before overhead | 3,000.00 | 4,000.00 |
| Markup on cost | 25.00% | 33.33% |
| Gross margin on sales | 20.00% | 25.00% |
With 25% markup, USD 3,000.00 profit divided by USD 15,000.00 sales is 20% gross margin. To keep 25% of sales, USD 12,000.00 must represent the other 75%; the selling price is USD 16,000.00. The difference is USD 1,000.00 for this group, or USD 50.00 per paying guest.
Write the rule so another person can check it
Let C be included direct delivery cost and S the corresponding selling price. Gross profit is S − C. It is not net profit after office costs, salaries and other overhead.
- Markup % = (S − C) ÷ C × 100.
- Gross margin % = (S − C) ÷ S × 100.
- For markup u, selling price = C × (1 + u).
- For gross margin m, selling price = C ÷ (1 − m).
In the pricing formulas, 25% is 0.25, not 25. A target margin must be below 100%; positive cost cannot yield 100% margin. Business Victoria’s government pricing guide defines markup against cost and gross margin against sales.
These are general business formulas, applied here to identifiable direct DMC delivery costs. They do not determine your accounting, tax or revenue-recognition treatment. Ask your accountant which costs and net revenue belong in your own gross-margin measure.
Save each partner’s rule as “25% markup on approved net cost” or “25% gross margin on net sales”. Do not save “25% gross-up”. Record any commission separately and confirm whether it reduces your retained selling amount.
Reprice when paying numbers change
Suppose the original USD 12,000.00 consists of USD 9,000.00 fixed costs plus USD 150.00 per paying guest. The fixed allowance includes the leader’s entire cost. Assume these terms remain valid at 19 paying guests, with no changed FOC entitlement.
Revised net cost is USD 9,000.00 + (19 × USD 150.00) = USD 11,850.00. Keeping the old USD 800.00 price yields USD 15,200.00 sales and USD 3,350.00 gross profit. Gross margin falls to 22.04%, rounded to two decimals.
Selling 19 places at that rounded price produces USD 15,800.02 sales and USD 3,950.02 gross profit. Recheck gross margin from the rounded selling price: it remains 25.00% to two decimals. Round the final per-person price once, then rebuild the group sales total from it.
In a real revision, rooming, coach capacity, minimum charges and FOC thresholds may also change. Recheck those conditions before assuming a cost is fixed or variable. Use the supplier rate approval checklist to retain the applicable source clauses.
Approve the cost and the commercial rule
Review included services, paying guests, leader costs, FOC deductions, currency, tax basis and the partner’s pricing rule together. Record the reviewer and quote revision. An unreadable rate or unresolved applicable condition stays flagged; arithmetic cannot resolve missing terms.
Opsora’s implementation offer starts with contract intake and human rate approval; fixed calculations then produce the cost sheet. The public contract intake demo uses USD and a gross-margin target, not a markup percentage. It prices selected approved services, not an automatically complete tour programme.
