Supplier contract rate approval checklist
An extracted number is not an approved rate. Check the conditions that decide whether it belongs in this quote.
Published 13 October 2026
A hotel rate can be read correctly and still be used incorrectly. EUR 150 per room is not EUR 150 per person; a free room is not a free programme. Rate approval joins the number to its conditions before the pricing engine uses it.
Use this checklist when reviewing extracted supplier contracts, or when entering rates by hand. Keep the source clause beside each rate so another team member can verify it without searching the entire PDF.
The review sheet
Record each item as approved, flagged or not applicable. A blank cell is not approval.
On a small screen, scroll the checklist sideways to read the conditions.
| Check | What the reviewer records |
|---|---|
| Source and validity | Supplier, contract reference, page and clause; signed version; currency; booking and travel validity. |
| Room and rate basis | Room category, occupancy, per-room or per-person basis, nightly or package basis, and included board. |
| Season and restrictions | Every travel night mapped to a season; blackout dates, minimum stays and arrival restrictions checked. |
| Child policy | Age on travel dates, age-band boundaries, sharing conditions, extra-bed charges and meal supplements recorded. |
| FOC entitlement | Paying guests or paid rooms; free person or free room; eligible occupants, caps and qualifying nights recorded. |
| Taxes and supplements | Included and excluded taxes; single use, upgrades, meals and mandatory fees itemised without double counting. |
| Commercial conditions | Release dates, cancellation and no-show terms, payment deadlines, availability and final-number conditions checked. |
| Approval | Reviewer and approval date recorded; unreadable or conflicting clauses remain flagged, not priced. |
Approval covers the documented rate and its conditions, not a promise of availability. Recheck availability and any applicable changes before committing a quote to the client. Store a replacement contract as a new version rather than silently changing the source behind an existing quote.
Work through one FOC clause
Assume 20 paying adults share ten paid twin rooms, and two staff share the free twin room for three nights. All nights qualify. Each room costs EUR 150 per night; breakfast costs EUR 12 per person and tax EUR 3 per person nightly.
Paid accommodation is 10 rooms × 3 nights × EUR 150 = EUR 4,500. Breakfast is 22 people × 3 nights × EUR 12 = EUR 792. Tax is 22 people × 3 nights × EUR 3 = EUR 198.
The free room removes EUR 450 of accommodation, not the staff’s breakfast or tax. Start with ten paid rooms, or eleven rooms less one free room; never apply both deductions. The staff’s EUR 90 breakfast and tax remain in the cost spread across the 20 paying adults.
If the contract instead grants one free person, this calculation is invalid. If paying numbers fall below 20, flag the entitlement and confirm the revised terms before repricing. This exercise assumes adults only; child eligibility must come from the actual clause.
Do not translate “free place” into “free room”
Published hotel terms show why the qualifying unit matters. Best Western GB’s leisure group conditions describe one free place per 20 full-paying passengers, for a driver or tour leader. Their terms use final operated numbers, single occupancy and the same meal basis, with a two-place cap.
The Ruskin Hotel’s travel-trade page advertises one free place per 25 guests booked. Neither wording establishes this exercise’s free twin-room arrangement. These are examples of differing public terms, checked 13 October 2026, not terms to copy into your own rate library.
When a clause cannot be approved
Do not fill an unreadable child policy or ambiguous FOC rule with a likely interpretation. Flag the line, retain the source page and ask the supplier to confirm the missing condition in writing. No affected price should go to the client until a human reviewer resolves it.
Opsora’s implementation offer starts with contract intake and human rate approval, before fixed calculations produce a cost sheet. For the next step, see the worked group cost sheet covering leader costs, markup and margin.
